A home care agency in Vancouver lives or dies on coordination. Forty caregivers, a hundred clients, visits that shift by the hour, families that want to know mum was seen this morning, and a funder who wants proof every visit happened. Run that on a spreadsheet and a group chat and something gives: a missed visit, a payroll mistake, a compliance gap you find out about at the worst time. The right software makes the whole thing run quietly. That is what we build.
Techalyst is a Vancouver software studio. We build custom home care software for agencies across the Lower Mainland, and we run it after launch, so you are managing care, not managing a system.
What home care software actually does
Off-the-shelf tools are either built for American billing models that do not match BC, or they are so generic that you bend your agency to fit them. Custom software fits your agency instead. The pieces that matter most:
- Scheduling that matches the right caregiver to the right client, handles recurring visits, and copes when someone calls in sick at 6am.
- Electronic visit verification, so every visit is logged with time and location, the proof funders and families both want.
- Care plans each caregiver can see on their phone, so they know what this client needs today.
- Billing and invoicing that fits private-pay and funded clients without re-keying anything.
- A caregiver mobile app for schedules, visit check-in and notes, in the field, offline-tolerant.
- A family portal so relatives can see visits and updates without phoning the office.
Where this fits in Vancouver
BC's population is ageing, and home care is where a lot of that demand lands. Agencies here serve clients from the West End and Kitsilano to the North Shore, Richmond and out through Burnaby and Surrey, often spread across Vancouver Coastal Health and Fraser Health regions with different reporting expectations. Coordinating caregivers across that geography, in real traffic, is its own problem, and generic software rarely understands it.
There is a language dimension too. Many clients and caregivers in this region are most comfortable in Cantonese, Mandarin, Punjabi or Tagalog. Software that only works in English quietly excludes the people using it most, and a family portal that a daughter in Richmond can read in the language she actually speaks is the difference between a tool that gets used and one that does not.
Website, platform, or the whole system?
Home care agencies usually need more than one thing, and it helps to be clear about which:
- A website that gets found by families searching for care, and turns a worried enquiry into a call.
- A web application, the management platform itself: scheduling, clients, caregivers, visits, billing, all in one place.
- A mobile app for caregivers in the field, and a portal for families at home.
- Automation and AI for the repetitive load, intake, reminders, the phone that never stops.
You do not have to take it all at once. Many agencies start with the platform that hurts most and grow from there. We build on a proven stack and design it so adding the next piece later is straightforward, not a rebuild.
Answer every family enquiry, day or night
New-client enquiries come at all hours, often from an adult child who has just realised a parent needs help and is anxious. If that call goes to voicemail, they call the next agency. We can pair your software with a 24/7 AI voice agent that answers in your agency's name, in more than one language, captures the enquiry, answers the common questions and books an assessment or routes it to your intake team. The office is never the bottleneck, and no enquiry goes cold overnight.
How we work, from idea to live
You will see working software every week, not a black box for three months:
- Discovery, where we map how your agency actually runs and agree what to build first, in writing.
- Build, with weekly demos so it grows the way you need.
- Launch, where we handle hosting, security, data protection and deployment, the parts that matter doubly when health information is involved.
- Support, with 90 days included and us around afterward.
You own the system, the code and the data outright. We build and run our own software products, so we maintain what we ship rather than disappearing at launch.
Built in Vancouver
Being here means we work in your hours, in plain language, and we understand the region your caregivers actually drive. We work with agencies and operators across Vancouver, the North Shore, Richmond, Burnaby and Surrey, and across the rest of Canada.
Frequently asked questions
Can it handle electronic visit verification?
Yes. Every visit can be logged with time and location through the caregiver app, giving you the verification funders and families expect.
Do caregivers need much training to use it?
No. The caregiver app is built to be obvious, schedules, check-in, care notes, on a phone. If a new caregiver cannot use it after a short walkthrough, we have not finished.
Is client health information kept secure?
Security and data protection are part of the build, not an afterthought. We set up hosting, access control and backups appropriate for health information, and you own the data.
Can it work in more than one language?
Yes. The caregiver app and family portal can support the languages your clients and caregivers actually use, including Cantonese, Mandarin, Punjabi and Tagalog.
Do we have to build everything at once?
No. Most agencies start with the piece that hurts most, scheduling or visit verification, and add the rest over time. We design for that.
